School Management Software Development

Gletus Technology builds custom school management software from its office in Rohini, New Delhi, for schools, school groups and coaching institutes across India. A typical system covers admissions and student records, fee collection with online payment and receipts, attendance, timetables, exams and report cards, staff records, and a parent app for notices, homework and fee reminders. The school owns the code and the student data, and we will say plainly when an off-the-shelf school ERP would suit you better.

What School Management Software means here

Plenty of school ERP products already exist, and for a single school with a standard way of working, one of them is usually the quicker and cheaper choice.

Custom software earns its place when the product forces workarounds: fee structures with sibling discounts, transport slabs and instalments that the product cannot express; several branches that need one consolidated view; or data the school wants to keep on infrastructure it controls rather than a vendor's shared server. We work out which situation you are in before any quote.

What the work covers

Admissions and student records

Enquiry to admission in one flow, with documents, sibling links, transfer certificates and a complete history for every student.

Fee management

Your actual fee heads, instalments, concessions and late fees, online payment through Indian gateways, automatic receipts and a defaulter list the accounts office can act on.

Attendance and timetable

Daily and period-wise attendance for students and staff, timetable building with clash checks, and substitution when a teacher is absent.

Exams and report cards

Marks entry by teachers, grading rules set by the school, and report cards generated in your format rather than a generic one.

Parent and student app

Notices, homework, attendance alerts, fee reminders and payment from a phone, so the office stops being the only channel for every question.

Transport, library and inventory

Optional modules for routes and fees by stop, book issue and returns, and stock of uniforms and stationery.

Roles and multi-branch

Principal, teacher, accountant and parent each see only what they should, and a school group gets one view across every branch.

Technologies we use

Chosen for the project rather than for our convenience — and we will explain the trade-off before committing to any of them.

Frequently asked questions about School Management Software

Straight answers to what people ask us most. If your question is not here, call +91 9131739457 or email info@gletus.com — we answer plainly, without a sales call first.

Should a school buy a school ERP or get custom software built?
If your processes are standard, buy - a ready product is cheaper and available today. Custom makes sense when the product forces staff into workarounds, when several branches need one consolidated system, or when the school wants to own its software and data outright. We will tell you which applies before quoting.
Can parents pay school fees online through the system?
Yes. Online fee payment through Indian payment gateways such as Razorpay or PayU is a standard module, with automatic receipts, reminders for due instalments and reconciliation reports for the accounts office.
Is there a mobile app for parents and teachers?
Yes. A parent app for notices, homework, attendance and fees, and a teacher app for attendance and marks entry, are usually part of the build. Both work from the same backend as the office system, so everyone sees the same data.
Can you move our existing student data into the new system?
Yes. Data from spreadsheets or an existing school ERP is migrated as part of the project. We scope it explicitly, because school records collected over several years are almost always less consistent than expected.
Who owns the software and the student data?
The school does - source code, database and documentation are handed over. There is no per-student licence fee payable to us, and the data stays wherever you choose to host it.
Should we buy off-the-shelf software or build custom?
Buy when your process is genuinely standard and a product already fits - it will be cheaper and available immediately. Build when your process is the thing that makes you competitive, when licence costs scale badly with headcount, or when you keep paying people to work around the software's limitations. We will say plainly which case you are in.
Can you migrate our existing data?
Yes. Data migration from spreadsheets, legacy databases or another system is a normal part of the work. We scope it explicitly because real-world data is always messier than expected, and a migration discovered late is the classic cause of a delayed go-live.
Can the system grow with our business?
That is the main reason to build custom rather than buy. We design the data model and module boundaries for where you expect to be in about three years, so adding users, locations or modules is configuration work rather than a rewrite.
Who owns the software once it is built?
You do. Source code, database schema, documentation and deployment configuration are yours, transferred at handover. Custom software you cannot host or modify without the original developer is a liability rather than an asset.
Is our business data secure?
Role-based access control, encrypted credentials, audit logging, input validation and scheduled backups are part of the baseline build rather than extras. For regulated sectors we scope the specific compliance requirements during discovery rather than assuming a generic standard.
Is a more expensive website better?
Only if the extra money buys something you need. Custom design, more unique templates, deeper backend work and proper testing all genuinely cost more and are genuinely worth it for some businesses. Paying more for the same brochure site is not. We will tell you which parts of a bigger quote are actually earning their keep.
What is the cost of maintaining a website per year?
Hosting and domain renewal are the fixed part. Beyond that, an annual maintenance contract covering updates, backups, security patches and a small allowance of content changes is optional. Sites left entirely unmaintained tend to cost more eventually, usually through a security incident or an outdated plugin breaking something.
Do you take equity or work for a revenue share?
No. We build to a written scope for a written price, which keeps the relationship straightforward for both sides and means our incentives do not change halfway through your project.
How long does an ecommerce website take to build?
Six to twelve weeks for a standard store, depending on catalogue size, payment and shipping integrations, and whether it is single or multi-vendor. Product data preparation is usually the item that decides whether that is six weeks or twelve.
What is the fastest you can deliver a website?
A single landing page can go live in a few days. A five to eight page business site takes two to three weeks done properly. Anything promising a full custom site in 48 hours is describing a template with your logo on it, which is a legitimate product but not the same product.
Do you provide School Management Software services in Gurugram?
Yes, including Cyber City, Golf Course Road, Udyog Vihar, Sohna Road and the sector markets. Gurugram buyers tend to be more procurement-driven than the rest of NCR, so we lead with written scope, timelines and documented ownership.
Do you charge more for clients outside India?
Pricing is based on scope, not on where the client is. International engagements sometimes involve additional contracting work - a data processing agreement, Standard Contractual Clauses, specific security requirements - and where that adds effort we itemise it rather than folding it invisibly into the rate.
Do you work with businesses in Bengaluru, Hyderabad, Mumbai or Pune?
Yes. We deliver remotely across India's major technology cities - Bengaluru, Hyderabad, Mumbai, Pune, Chennai and Ahmedabad - on shared project boards with scheduled calls and staging links. Every city we serve has its own page describing that market specifically.
Where will my website be hosted?
Wherever you prefer. We provide managed hosting with SSL, backups and monitoring, and the account is opened in your name so you keep control. If you already have hosting, or want a specific provider or region, we configure it there instead.
Do you build multilingual websites?
Yes, including Hindi and regional Indian languages, and right-to-left languages such as Arabic where a Gulf market needs it. Multilingual is a structural decision best made at the start - retrofitting it into a finished site is considerably more work than building it in.
